Beeny AI ("Beeny", "we", "us", or "our") provides AI-powered invoice processing and accounting automation for Indian MSMEs. This Privacy Policy explains how we handle information when you use beeny.ai, our APIs, integrations, and related services (the "Service").

We collect information in three ways:

• Account information you provide: name, business name, email, phone number, GSTIN, billing details, and login credentials.
• Content you submit: invoices, receipts, bills, vendor master data, ledgers, and other documents or data you upload, forward, or sync from connected accounting software (e.g. Tally, Busy, Zoho).
• Usage and device information collected automatically: IP address, browser type, device identifiers, pages visited, actions taken, timestamps, and diagnostic logs.

We do not knowingly collect information from anyone under 18.

We use your information to:

• Provide, operate, and improve the Service — including extracting fields from invoices, matching items, and posting entries to your accounting software.
• Authenticate users, prevent fraud, and secure the Service.
• Communicate with you about your account, support requests, product updates, and security notices.
• Comply with legal obligations, including tax and accounting record requirements.
• With your consent, send marketing communications. You can opt out at any time.

Documents you upload are processed by our AI systems and trusted third-party model providers (e.g. large language model and OCR vendors) solely to deliver the Service.

We do not use your invoices, ledgers, or business data to train foundation models or share them with model providers for training. Where we use third-party AI providers, we contract for zero-retention or short-retention processing wherever available.

We may use fully de-identified, aggregated metrics (e.g. average extraction accuracy, processing latency) to monitor and improve our own systems.

We share information only as needed:

• Service providers: cloud hosting, AI/OCR providers, email delivery, payment processors, analytics, and customer support tools — bound by confidentiality and data-protection terms.
• Accounting integrations: data you ask us to push to Tally, Busy, Zoho, or similar systems is transmitted to those systems on your instruction.
• Legal and safety: when required by law, court order, or to protect rights, property, or safety of Beeny, our users, or the public.
• Business transfers: in the event of a merger, acquisition, or sale of assets, with notice to you.

We do not sell your personal information.

We retain your account information and uploaded content for as long as your account is active and for a reasonable period afterward to comply with legal, tax, and audit obligations (typically up to 8 years for accounting records under Indian law).

You can request deletion of your account and associated content at any time by emailing hello@beeny.ai. Some information may be retained in backups for a limited period or where required by law.

We use industry-standard safeguards, including TLS encryption in transit, encryption at rest, role-based access controls, audit logs, and regular security reviews. No system is perfectly secure; we cannot guarantee absolute security.

If we become aware of a security breach affecting your data, we will notify you and the appropriate authorities as required by law.

We primarily store data on servers located in India and other regions operated by our cloud providers. By using the Service you consent to the transfer of your information to these locations, subject to appropriate safeguards.

Subject to applicable law (including India's Digital Personal Data Protection Act, 2023), you may have the right to:

• Access, correct, or update your personal information.
• Request deletion of your personal information.
• Withdraw consent for processing where consent is the legal basis.
• Nominate another individual to exercise rights on your behalf in case of incapacity.
• File a complaint with the Data Protection Board of India.

We use essential cookies to keep the Service functional. We use limited analytics tools to understand how the Service is used and improve it. You can control cookies via your browser settings; disabling them may affect functionality.

We use PostHog, a product analytics platform, to understand how visitors interact with our website (pages viewed, clicks, navigation paths, device and browser type). PostHog may also record anonymized session replays — recordings of mouse movements, clicks, and scrolling — to help us identify usability issues and improve the experience. Sensitive form inputs (such as names, emails, and phone numbers) are masked by default and are not captured in these recordings. Analytics data is processed by PostHog Inc. on servers located in the United States.

You can opt out of analytics and session replay at any time by enabling "Do Not Track" or a privacy-focused browser extension, or by emailing hello@beeny.ai with your request.

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or via an in-product notice before the changes take effect.
